Special categories of personal data. For certain events, particularly international projects, VIP events and events requiring travel, accreditation, security or access arrangements, we may need to collect passport or national ID details, visa information, nationality, date of birth, dietary requirements, health-related information (e.g. allergies, mobility or accessibility needs) or, in limited cases, biometric data used for accreditation or access control. Under the PDPL, this information may constitute a special category of personal data requiring a higher standard of protection. We will only collect such information where reasonably necessary for the relevant purpose, will seek your explicit consent where required by law, and will apply additional safeguards to its storage, access and retention.

We may also automatically collect technical information when you use our website. This may include your IP address, browser type, device information, operating system, approximate location, pages viewed, time spent on the website, referring pages and information collected through cookies or similar technologies.

2. How We Collect Personal Data

We collect personal data directly from you when you contact Stage Time, submit information through our website, request our services, enter into an agreement with us or communicate with members of our team.

For example, where you are invited to an event organized by Stage Time, the event host or another authorized party may provide us with your name and contact information for the purpose of managing invitations, registration, access or guest services.

Where another person provides personal data to us on your behalf, we expect that person to have the appropriate authority or other lawful basis to provide that information.

3. How We Use Personal Data

Service and contractual purposes. We use personal data where necessary to respond to enquiries, communicate with prospective and existing clients, prepare proposals and quotations, develop event concepts, manage projects, arrange venues, book artists and performers, coordinate suppliers and contractors, organize catering, accommodation and transportation, manage guest lists and invitations, provide VIP and protocol services, produce events and fulfil our contractual obligations to you.

Administrative and legal purposes. We may also use personal data for invoicing, accounting, record keeping, fraud prevention, security, legal compliance and the establishment, exercise or defence of legal claims.

Website purposes. Information relating to the use of our website may be processed to maintain website security, understand how visitors interact with the website, identify technical issues and improve its functionality and performance.

Consent can be withdrawn at any time by contacting us, and withdrawal will not affect the lawfulness of processing carried out before withdrawal.

Performance of a contract: where processing is necessary to enter into or perform our agreement with you, such as planning and delivering an event you have engaged us for.

Legal obligation: where processing is required to comply with UAE law, such as tax, accounting or regulatory record-keeping requirements.

Legitimate interests: where processing is necessary for our legitimate business interests (such as website security or fraud prevention), provided this is not overridden by your interests or fundamental rights.

We do not seek to collect personal data that is unnecessary for the purposes for which it is processed.

Stage Time does not sell personal data.

We may also disclose information to government authorities, regulators, courts, law enforcement agencies or other parties where disclosure is required or permitted by applicable law.

Where third parties process personal data on our behalf, we take reasonable steps to ensure that appropriate confidentiality, privacy and security requirements apply to that processing, including through written data processing terms where appropriate.

6. International Events And International Data Transfers

Stage Time operates in an international event environment and may provide services in the United Arab Emirates and other countries.

The organization of an international event may require personal data to be transferred or made available outside the United Arab Emirates, for example when coordinating destination weddings, international private events, corporate events, artist bookings, accommodation, transportation or production services abroad.

Where personal data is transferred internationally, we will only do so where the receiving country is recognized as providing an adequate level of protection, or where appropriate safeguards are in place, such as standard contractual clauses, binding corporate rules, or your explicit consent to the specific transfer, in accordance with the PDPL and its Implementing Regulation.

7. Data Security

Stage Time takes reasonable technical and organizational measures designed to protect personal data against unauthorized access, disclosure, alteration, loss, misuse or destruction.

Access to personal data is limited to members of our team, service providers and other authorized parties who require access for legitimate business purposes. Special categories of personal data (see Section 1) are subject to additional access controls and, where appropriate, shorter retention periods.

Although we take appropriate measures to protect personal data, no website, electronic transmission or information storage system can be guaranteed to be completely secure. Users should therefore also take appropriate precautions when communicating information electronically.

In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the relevant UAE authority and, where required by law, affected individuals, without undue delay.

8. Data Retention

We retain personal data only for as long as reasonably necessary for the purposes for which it was collected, including the provision of our services and compliance with legal, accounting, contractual and regulatory requirements. Indicative retention periods include:

Client and event records (contracts, invoices, correspondence): retained for the duration of the business relationship and for 5 years thereafter, in line with UAE Federal Tax Authority record-keeping requirements.

Enquiry and proposal data that does not result in an engagement: retained for up to 24 months, after which it is deleted or anonymized.

Special categories of personal data (e.g. passport details, accessibility or health-related information collected for an event): retained only for the duration of the relevant event and any legally required follow-up period, and deleted promptly thereafter unless a longer period is required by law.

Marketing consent records: retained until consent is withdrawn, plus a reasonable period to evidence compliance.

Where personal data is no longer required, it will be deleted, anonymized or otherwise securely disposed of in accordance with applicable law and our internal retention practices.

9. Marketing Communications

Where you have given explicit, opt-in consent, Stage Time may contact you regarding our services, events, projects or other relevant information, by email, telephone, messaging services or other channels for which you have provided the relevant details.

You may withdraw your consent and stop receiving marketing communications at any time by using the unsubscribe option provided in the relevant communication, or by contacting us using the details in Section 16.

We will not sell your personal data to third parties for their own marketing purposes.

Where Stage Time processes identifiable photographs, recordings or other media containing personal data, such processing will be carried out for purposes connected with the relevant event, client instructions and any permissions or consents required under applicable law.

Private and confidential events may be subject to additional contractual confidentiality and media restrictions agreed with the client.

Nothing in this Privacy Policy grants Stage Time an unrestricted right to publish photographs or recordings of clients, guests or private events.

13. Children’s Personal Data

Stage Time provides event services that may include children’s celebrations and events attended by minors.

Our website and commercial services are not directed at children for the purpose of independently purchasing or contracting for Stage Time services.

Where personal data relating to a child is required in connection with an event, we will process such information only where reasonably necessary and in accordance with applicable law and any required authorization from a parent, guardian, client or other authorized person.
